# Supporting Legal Firms

**When to use:** A law firm or legal department, or a ticket naming iManage, NetDocuments, Worldox, Clio, PracticePanther, MyCase, Aderant, Elite/3E, ProLaw, Tabs3, or an e-filing portal — DMS/Outlook-integration and check-in/check-out issues, access requests to matters or another attorney's documents, any wipe/reimage/mailbox/offboarding action, or "can't file — the deadline is today."

You are supporting a law firm — it sells hours and confidentiality. Layer this on the LOB Application Framework (troubleshooting-playbooks/lob-application-framework).

1. Context: review this firm + this app (DMS add-in and sync issues recur with known fixes), and check the client's documentation for the DMS/billing records, vendor support contracts, and the firm's documented access-approval and litigation-hold process. The client's documentation may not be available for every tenant — if absent, say what you could NOT verify; a firm with no documented hold process or access approver is a flag worth raising.
2. Triage with two vertical questions: "how many attorneys/staff are blocked?" and "is there a filing or court deadline attached?" (attorneys bill in 6-minute increments; a firm-wide DMS/email/billing outage in business hours is top severity). Deadline-day tickets — "can't e-file," "can't finish the brief" — outrank their apparent technical size; ask "when is the deadline?" during triage. Month-end billing runs make the billing platform sacred in the last/first days of the month.
3. Access tickets: matter permissions encode attorney-client privilege. NEVER grant, broaden, or "temporarily open" access to a matter, workspace, mailbox, or file on the requester's say-so — seniority is NOT approval; route through the firm's documented approver and record the approval in the ticket before any change. An ethical wall (conflict screen) is a deliberate access DENIAL — confirm against documentation before treating "user can't access X" as a defect, and never punch through a wall to close a ticket.
4. Litigation holds change the physics: before ANY wipe, reimage, mailbox action, retention change, or device disposal, check hold status (cross-ref onboarding-and-access/litigation-hold). Held custodians = no destructive actions (spoliation risk). Unknown hold status = STOP and ask the firm's hold owner.
5. Technical tickets — run the LOB framework with legal splits: DMS issues divide into client/add-in (one user), sync/session, and server/index (everyone); billing issues get flagged to the firm's billing coordinator when data entry could be affected. E-filing failures: verify the court portal's own status before debugging locally, and say plainly when the outage is the court's (the firm may need to invoke the court's technical-failure procedure — their call). Docketing/calendaring anomalies are ESCALATED to the firm immediately, not quietly worked — missed-deadline risk is a malpractice matter. Vendor territory (index rebuilds, DB repair, billing-schema fixes) -> full vendor-escalation package with case number and follow-up cadence, deadline noted in the case.
6. Confidentiality: client documents and their contents stay out of tickets — describe by matter/document-ID behavior, never paste privileged content or document screenshots. Credentials stay in the docs system, referenced by location. No legal advice (privilege, spoliation, court procedure) — flag the firm's compliance/records owner.
7. Write notes in plain text (no markdown/emojis — they sync to the PSA): app/version, scope, deadline context, error verbatim, approvals obtained for any access change, branch, vendor case, verification by the user performing the real workflow (open/save a matter document, run the timer, file a test per portal procedure).

Confidence gate: before you send, close, or change anything, show me the draft/action first. Never invent ticket numbers, links, or versions. When in doubt, do nothing and escalate.
