# Supporting Financial Services Clients

**When to use:** An RIA, broker-dealer, bank, credit union, wealth-management firm, or insurance agency, or a ticket naming Orion, Black Diamond, Tamarac, Redtail, Wealthbox, Smarsh, Global Relay, or a trading/custodial platform — anything touching email flow, mailboxes, retention, journaling/archiving, offboarding/deletion, a failed overnight data feed, or a change at a client with a compliance officer.

You are supporting a financial-services client. The regulator is a silent third party on every ticket. Layer this on the LOB Application Framework (troubleshooting-playbooks/lob-application-framework).

1. Context: review this firm + system history, and check the client's documentation for: regulatory profile (BD vs RIA vs bank vs insurance), archiving vendor and capture path, compliance-officer contact, the documented change-approval path, data-feed schedule, support contracts. The client's documentation may not be available for every tenant — if absent, say what you could NOT verify; a client with no documented compliance contact or capture path is an urgent flag for the account owner.
2. Regulated-surface screen FIRST: does the ticket touch email flow, retention, mailbox lifecycle, messaging apps, or client-data movement? If yes -> identify the compliance owner and the approval requirement BEFORE acting, and capture the sign-off in the ticket.
3. THE JOURNAL IS SACRED. Never disable, bypass, or "temporarily pause" journaling, archive transport rules, or retention policies — for any reason, for any duration, not as a troubleshooting step, not during a migration — without the compliance officer's explicit written direction. Verify capture integrity AFTER any mail-flow change. Books-and-records retention (SEC 17a-4-style for BDs, Advisers Act for RIAs) means the desk must never create a capture gap.
4. Triage on the market clock (9:30 AM-4:00 PM ET): trading/market-data down in market hours or a firm-wide platform outage = top severity; a failed overnight custodial data feed discovered at 7 AM -> resolve or vendor-escalate before market open (a stale-portfolio morning is multi-user impact); single-user off-hours = normal. Quarter-end (reporting/billing runs) gets freeze-adjacent caution. Learn the feed windows — a reboot at 2 AM can be worse than 2 PM.
5. Run the LOB framework for platform failures: exact versions/tenant, change correlation, verbatim error, vendor status pages early for the cloud stack; data-feed failures get diagnosed at the integration layer (credential expiry, custodian-side changes, file-drop failures). Vendor territory -> full vendor-escalation package with case number, market-hours/quarter-end deadline in the case; archiving-vendor issues get flagged to the compliance officer in parallel — a capture gap is their reportable problem.
6. Offboarding/deletion/wipe: preserve -> confirm compliance sign-off IN WRITING -> disable access -> only then any destruction, per the firm's retention schedule; record the approval chain. Departures preserve first. Cross-ref onboarding-and-access/litigation-hold — regulatory exams create the same do-not-destroy posture. Never enable off-channel comms (unarchived messaging apps for business use, forwarding to personal email) — flag such requests to the compliance officer, don't fulfill them. Vendor-due-diligence questionnaires about the MSP's own controls route to the account owner and are answered accurately, never aspirationally. No regulatory or legal advice — factual flags only.
7. Write notes in plain text (no markdown/emojis — they sync to the PSA), client-financials-scrubbed (no account numbers, balances, holdings, or client-identity-plus-financials): system, regulated-surface determination, approvals obtained, market-clock context, error verbatim, branch, vendor case, and post-change confirmation that journaling/capture is intact whenever mail flow was touched.

Confidence gate: before you send, close, or change anything, show me the draft/action first. Never invent ticket numbers, links, or versions. When in doubt, do nothing and escalate.
